Subgrant Lead

RMI is seeking a Subgrant Lead who will serve a key oversight and support role administering subgrants at RMI. Reporting to the Compliance Manager and working closely with the Subgrant Specialist, you will provide day-to-day oversight of subgrant management, assist with the assessment of potential partners, draft subgrant agreements, and more.

Key Responsibilities  

Pre-award Activities  

  • Manage the entire subgrant process, from start to finish, which includes close collaboration with the Subgrant Specialist, RMI’s legal department, RMI program staff, and other RMI operational staff, as needed 
  • Administer and review the pre-award due diligence assessment and analyze organizational capacity of potential partners to manage subgrant funding and project implementation 
  • Conduct all anti-terrorism, anti-money laundering, and debarment compliance checks of potential partners and ensure accurate tracking of all such requests  
  • Review subrecipients’ statements of work, certifications and representations, conflicts of interest policy implications, data use, material transfer, and other compliance considerations  
  • Work with the Subgrant Specialist with reviewing subrecipient budgets, budget justifications, indirect cost rates, fringe benefits, and more 
  • Help RMI staff determine if a potential partner should be considered a contractor or subrecipient 
  • Draft all subgrant agreements, ensure alignment with original grant agreements, including appropriate flow-down of terms and conditions  
  • Draft any other agreements (such as independent contractor agreements or contract services agreements) which need to alignment with original funding agreements, including appropriate flow-down of terms and conditions  

Monitoring and Evaluating Subgrants  

  • Design, maintain, and manage a subgrant management database 
  • Work with the Subgrant Specialist to ensure all reporting deadlines are met by subrecipients 
  • Closely track all end dates of RMI’s subgrants and work with RMI program staff if amendments are needed 
  • Before a subgrant is closed out, work with the Subgrant Specialist and applicable RMI program staff to assess subrecipient performance  
  • Track and provide analysis and metrics on current and closed subgrants, e.g., spending patterns, outstanding reports  
  • Work with program staff and subrecipients on subgrant close out, e.g., documentation, distribution of inventory, retention of intellectual property, audit, etc.  

Other / miscellaneous  

  • Complete all incoming due diligence and assessment forms from prospective RMI funders  
  • Provide training to RMI staff on RMI’s subgrant procedures 
  • Draft memos and guidance documents and act as a resource to RMI staff for all compliance-related issues pertaining to subgrants 
  • Along with the Subgrant Specialist, help manage the subgrants email inbox 
  • Additional responsibilities, as required   

Minimum Qualifications  

  • Bachelor's degree in business, finance or accounting, or an equivalent combination of education and experience  
  • Minimum of 3 years progressive work experience in grant/contract administration with at least two years working in subgrant administration  
  • Experience with implementing and managing subgrant processes and procedures within an international organization.  
  • Experience and familiarity with the rules and regulations of both US and European government agency grant and contract requirements, as well as with a variety of private and public donor requirements  
  • Exceptional organization skills and the ability to multitask on several projects simultaneously  
  • Excellent written and verbal communication skills  
  • Exceptional interpersonal skills and rapport building  
  • Proficiency in Microsoft Office  

Additional Qualifications  

  • Experience with Salesforce and grant management software 
  • Participate in the design and deployment of new systems at RMI, such as Workday 
  • Knowledge of Uniform Guidance, federal contracts, and the Federal Acquisition Regulations (FAR)  
  • Knowledge of current and legally binding contractual language and terminology  
  • Willingness to work virtually or in an office setting   


We are a remote-ready company with team members around the globe. Our beautiful and welcoming offices are available for meetings or focused work, whether you are traveling through or living nearby. Our U.S. offices are in New York City; Washington DC; Oakland, California; Boulder, Colorado, and Basalt, Colorado.    

We provide you with the essential IT equipment plus a one-time home technology payment and a monthly work from home/commuter allowance to ensure you have a comfortable home office set up and necessary supplies.   

We love seeing each other in person! We occasionally gather for shared time together like retreats and learning experiences. Be ready to travel for occasional in-person meetings (and of course, we cover travel costs). Some roles may require more travel, which will be discussed during the hiring process.

RMI compensates based on the level and requirements of the role. Salary within our ranges may also be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. Typically, new Subgrant Leads based in the U.S. join at the minimum to mid-salary range of $63,000 - $74,000. You would also have an additional 5% bonus target!
