Conference and Events Manager

Position Overview:  

RMI is seeking a Conference and Events Manager with 5–8 years of experience. This hire will be a full-time member of a global Communications and Marketing team, known internally as the Influence Team, and will work across RMI’s programs and with top leadership to coordinate and plan RMI-owned virtual and live events for donors, companies, partners, media, and other key stakeholders, plus RMI’s presence at global climate and energy events, such as Climate Week NYC and the UNFCCC Conference of the Parties, or COP.   

We are looking for a strong team player who works as an integral part of the Influence team while coordinating and collaborating with multiple other RMI programs, our Development Team, and our teams that manage partnerships. The Conference and Events Manager will provide an event protocol to be used across the rapidly growing organization, connect event appearances to organizational brand and messaging, mission impact goals, and coordinate event efforts across channels with other RMI programs and operations to inform and influence key stakeholders and decision makers.   

This position will report to the Strategic Communications Director for Strategy and Planning.

Core Responsibilities:   

Event Strategy, Planning, and Production 

  • Develops and oversees an annual event calendar for the organization, in consultation with leadership, the development team, and key program teams 
  • Develops a centralized event protocol within the communications team to ensure consistency and quality of all RMI-owned events and target audiences 
  • Leads external-facing event production of RMI-owned events on virtual event platforms and in-person gatherings for stakeholders including but not limited to donors, companies, media, practitioners, and Board of Trustees, ensuring events are on brand and on message 
  • Oversees and executes high-quality event planning and logistics including site selection, contract negotiation, vendor management, attendee experience, and event debriefs. 
  • Utilizes RMI systems (Salesforce, Pardot, Monday.com) as well as other tools to support the management of event guest lists, accreditation and lodging, and the creation of event run-of-shows for internal and external stakeholders 
  • Manages speaker/panelist/moderator outreach, briefing, and coordination for events, in partnership with development or key program teams 
  • Creates and administers participant event surveys and other mechanisms to measure effectiveness of RMI events, in partnership with Monitoring and Evaluation team 

Global Event Coordination  

  • Creates and maintains master calendar of global climate-related events (i.e. COP, Davos, NY Climate Week, etc) and sync with overall editorial calendar  
  • Leads coordination of RMI delegations to recurring large global climate events (serving, eg, as RMI’s Designated Contact Point for the UNFCCC around COP) 
  • Pitches suggestions for global event appearances by senior leaders across the organization, and/or opportunities for RMI-hosted events in sync with current events and topics where RMI is a leading voice 
  • Keeps tabs on senior leadership calendars for global event appearances that intersect with media and thought leadership opportunities to ensure policy alignment and program visibility 
  • Maintains a speaker registry of events where RMI is speaking/the role we play at events and conferences around the globe 
  • Prepares background/informational materials for dissemination among partners for relevant events  

Event Marketing 

  • Drafts event descriptions  
  • Coordinates with relevant team members to market to key audiences and keep website and other channels updated with relevant event information 
  • Works with communications team to generate event audiences through social media, email marketing, and other outreach as needed/requested 
  • Serves as a liaison between partners in planning for maximum impact and co-messaging at events 
  • Ensures robust follow-up to event attendees   

Required Qualifications:  

  • Bachelor’s degree in event science, journalism, public relations, communications, marketing, or related field and/or appropriate combination of education and significant experience.     
  • At least 5+ years of direct relevant experience  
  • Ability to manage multiple relationships and complex projects. 
  • Tight project and task management skills  

Preferred Qualifications  

  • Prior experience managing high-profile, international events 
  • Experience working with high-level and high-profile individuals including C-suite leaders 
  • Executed or performed work in non-US markets 
  • Experience juggling conflicting priorities  
  • Experience and/or interest working on sustainability, climate, or energy issues   
  • Ability to communicate and coordinate across a diverse policy, industry, and stakeholder audience 
  • Relevant Graduate Degree   

Location:   

The position will remain remote through the COVID-19 pandemic. Once the COVID-19 situation improves, it is expected that this role will be based out of one of our offices in Oakland, CA, Washington, D.C., New York City, Boulder, or Basalt, Colorado. This will be discussed further throughout the interview process.

Compensation:  The salary range for this position is $79,000- $93,000.  Salary will be determined by the applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data. This role has an additional 10% bonus target!
